Control Panels USA is seeking an Administrative Assistant to join our growing team. The Administrative Assistant is responsible for assisting the office staff to ensure the office runs as efficiently as possible by answering phones, greeting guests, creating submittal and operation & maintenance manuals.

Our regular work schedule is M-F 8AM-4:30PM with some overtime opportunities as needed.
Duties to include but not limited to:
- Ensure coffee is available in the mornings and in the large conference rooms as needed
- Stock paper in printers, on shelves in library, and throw boxes out after supplies are put up
- Communicate office supply needs to purchasing
- Ensure common areas are kept organized (library, printer area, conference rooms, kitchen, etc.)
- Update calendar with people out for the day
- Schedule conference rooms
- Answer phones and greet guests
- Assign badges
- Handle small orders being picked up by customers
- File documents in the library
- Open, sort, distribute, and send mail daily
- Create submittals and operation & maintenance manuals
- Order business cards, lunches, flowers, etc. as requested by management
- Assist project managers, estimators, & other office staff on all tasks to include excel sheets, research, or any other document preparation
- Assist President, & Vice Presidents with travel arrangements, personal arrangements or any task that may be needed
- Attend meetings and trainings deemed necessary by management
- Any other tasks, assignments, duties, or projects as requested by management
Requirements:
- Customer service oriented
- Great communication skills, both verbal and written
- Highly organized and detail oriented
- Strong technical and computer skills to include Microsoft Office Suite, Word, Excel, Outlook, Power Point, etc.
- Ability to multitask
Physical Requirements:
While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk, hear, and use their vision. The employee must occasionally lift and/or move up to 20 pounds.
