General Description of Job:   In general, the Project Administrative Assistant is responsible for assisting the project management team to ensure each project runs as efficiently as possible.

Duties to include but not limited to:
  • Introductory email to customer with signed PO/Work Order
  • Opening time for the project
  • Taking notes at project meetings
  • Creating Schedule Of Equipment after drawings & Cost Estimate are approved
  • Request submittal to be created from Admin.
  • Detailed review of submittal compared to Schedule Of Equipment from Admin.
  • Sending completed submittal to customer & frequently checking up on progress
  • Create Submittal Comment Response sheet with all comments copied from returned submittal
  • Process return submittals from customer & communicate with Project Manager on changes if applicable.
  • Gives As-Builts to Shipping/Receiving and help set up the shipment
  • Create Transmittal/Packing Slip
  • Create Field Tech Binder to the greatest extent possible
  • Gather As-Builts & parameter lists from field tech
  • Get As-Builts to CAD to update drawings
  • Update Parameter lists accordingly
  • Update Schedule Of Equipment for O&M
  • Help with any scheduling throughout life span of project
  • Attend meetings and trainings deemed necessary by management
      • Any other tasks, assignments, duties, or projects as requested by management

Requirements:
      • Great communication skills, both verbal and written
      • Proven ability to communicate effectively with customers
      • Highly organized and detail oriented
      • Strong technical and computer skills to include Microsoft Office Suite, Word, Excel, Outlook, etc.
      • Customer service oriented
      • Ability to multitask
